Scan multiple pages into one PDF with your phone

Take a photo of each page with your phone, or pick photos you already have. Every page comes out straight and cropped at its edges, in the order you choose, in one PDF. If a form caps the file size, pick the limit or type it in, and the PDF comes in under it without the paper size changing.

How big a file each portal takes.

Here 1 MB is 1,000,000 bytes. Some portals count 1,048,576, so a file under our figure passes either way.

One file or several

Some portals want every page in one PDF.

Besides the size, the portals say how many files they take.

CanadaOne file per request

When IRCC asks for documents, you can upload only one file, so combine multiple documents into one, under 4 MB.8

AustraliaPages in a single PDF

ImmiAccount takes files up to 5 MB and asks for a document of more than one page as a single PDF.9

United StatesUp to 40 files

The IRS upload tool takes up to 40 files of 15 MB each, and a PDF of up to 120 pages.2

United KingdomOne PDF is one file

HMRC takes up to 10 files at a time, 10 MB each, and counts several papers saved in a single PDF as one file.4 The EU Settlement Scheme takes up to 10 documents of 6 MB.3

India5 MB, 50 MB in all

On the Income Tax e-Filing portal, one attachment can be 5 MB, up to 10 of them, 50 MB together.5

Getting under the limit

Quality first, then resolution.

A Letter page stays Letter size in the PDF.

  1. Quality

    Each page is saved as a JPEG at 200 dots per inch (dpi). When the PDF is too big, the JPEG quality comes down first, to about half.

  2. Resolution

    If that isn't enough, the resolution drops 10 dpi at a time, down to 100 dpi. At 100 dpi the capitals of 7-point print are still almost 7 pixels tall.

  3. If it still won't fit

    You get the smallest PDF it can make and its size. Try Black & white, or split the pages into two PDFs.

Black & white makes text pages much smaller than color. Keep Auto color for pages with photos, stamps or colored forms.

Paper

Letter, A4, Legal or half Letter.

Each sheet is scaled to fit the paper you pick and keeps its shape.

The US standard: the State Department asks for "8.5 inch by 11 inch paper" for passport photocopies.10

A4210 × 297 mm

The rest of the world's standard, as in the UK government's letter specification.11

Legal8.5 × 14 in

The long sheet, 35.56 cm: the Buenos Aires province tax agency buys it as "LEGAL (OFICIO) 14 x 8 ½".12 The Spanish pages also offer Mexico's and Chile's oficio, which are shorter.

Each page takes the shape of the sheet in the photo, 210 mm on its short side.

With your phone

A good photo of each page.

  1. Dark background

    Lay the page on a dark table or floor: white edges are easiest to find against something darker.

  2. The whole page

    All four corners in the frame, with a little table around them. A crooked shot is fine: it gets straightened.

  3. Even light

    Daylight, no flash (it leaves glare). If your shadow falls on the page, step to one side.

  4. Check

    Pages marked Check corners have a button to drag the four dots onto the corners.

Short answers.

Is anything uploaded?

No. The photos are opened and the PDF is made in your browser. Only anonymous steps are counted, such as "PDF downloaded", never the photos or what is on them.

How many pages can one PDF have?

Up to 30. For more, make a second PDF.

Can I change the order?

Yes: each page has buttons to move it earlier or later, turn it, check its corners or remove it.

Can my iPhone do this without a website?

Yes: the Notes app scans documents too, from the Attachment button and Scan Documents.13 Use this page when you need a size limit or a set paper size.

And on Android?

Google Drive can scan documents and save them as PDF.14 This page adds the size limit, the paper and the order.

Can I sign the PDF afterwards?

Yes, with sign a PDF, also on your device.
